How to Prepare Your MacBook Before a Repair

A few minutes of prep before handing over your MacBook protects your data and helps the technician fix the right problem faster. Here's the checklist.

Tip #28 of 35 Repair Advice 5 min read By the Fix Revolution technicians

You've booked a repair and your MacBook is about to leave your hands for a day or two. A little preparation now can protect your files, avoid delays and make sure the technician fixes exactly what's bothering you. This checklist shows you how to prepare your MacBook for repair, whether it's a new battery, a screen or a more complex board-level job.

1. Back up everything first

This is the single most important step. Repairs are routine, but storage can fail at any time, and some repairs, like logic board or SSD work, may involve data risk. No repair shop can guarantee your data, so make your own copy.

  1. Connect an external drive and run a Time Machine backup. On macOS Ventura and later, go to System Settings > General > Time Machine; on older versions, use System Preferences > Time Machine.
  2. Make sure important folders like Desktop and Documents are synced to iCloud Drive or another cloud service.
  3. Double-check that the backup actually finished before you disconnect the drive.

Our step-by-step guide to backing up a MacBook with Time Machine covers the details. If the Mac won't turn on, tell the technician whether data recovery matters to you.

2. Write down the symptoms

Intermittent problems are hard to reproduce. A clear description saves diagnosis time.

  • What exactly happens, and when did it start?
  • Is it constant or occasional? Does it happen on battery, on the charger, or both?
  • Was there a drop, a spill or a recent macOS update?
  • Have you already tried anything, such as a restart, Safe Mode or a different charger?

Be honest about liquid exposure, even a small amount. It changes how the technician approaches the repair and keeps you from paying for the wrong fix.

3. Sort out passwords and access

To confirm a repair worked, a technician usually needs to test the Mac after it's fixed: the keyboard, trackpad, camera, speakers, Wi-Fi and charging.

  1. Ask your repair shop whether they need your login password to test the Mac.
  2. If you'd rather not share your own password, create a separate standard user account for testing. On macOS Ventura and later, go to System Settings > Users & Groups and click Add User (older versions: System Preferences > Users & Groups).
  3. Ask whether they need Find My turned off for your type of repair and follow their instructions.

4. Pack it properly

  1. Shut the Mac down completely rather than putting it to sleep.
  2. Remove external drives, USB sticks, dongles and memory cards that you don't need to send.
  3. Include the charger and cable if the problem involves charging or power, so the technician can test with your exact setup.
  4. Take off any stick-on keyboard cover or webcam cover. These can be part of the problem (see how covers can damage a MacBook screen).
  5. Note any existing scratches or dents so you both agree on the starting condition.

5. Know the terms before you hand it over

  • How long is the repair expected to take, and could parts availability affect it?
  • What warranty applies, and what does it exclude?
  • Is there a fee if you decide not to go ahead?

Quick answers

Should I back up my MacBook before a repair?

Yes, always. Repair shops can't guarantee your data, so make a Time Machine or cloud backup before handing over your Mac.

Do I need to give the technician my password?

Technicians usually need to log in to test the repair. If you prefer, create a separate test user account instead of sharing your own password.

Should I include my charger?

Include it if the problem involves power or charging, so the technician can test with the same charger and cable you use.
